What You'll Do/Need

Are you the type of person who strives to make a difference? Our Project Coordinators make a difference for our clients and our company every day. In this role, you’ll serve as the right-hand person in both administrative support and project management to the Vice President of Business Development of Rock Ventures. Your responsibilities will include scheduling and coordinating meetings, providing project and general business support, and other duties and special projects as directed.  

Responsibilities 

  • Schedule and coordinate meetings, manage calendar and book travel
  • Coordinate logistics and prepare materials for meetings and conference calls
  • Document meeting notes, coordinate follow-up items and track to completion
  • Create, revise and edit written material, including research summaries, project-related communications and business presentations
  • Interact and maintain a positive working relationship among all levels of internal team members and outside clients
  • Liaise with other teams’ project managers to ensure coordination across the family of companies
  • Organize and maintain paper documents and electronic files
  • Intake, process and distribute high volume of internal and external correspondence, including U.S. mail, email and voicemail
  • Plan, execute and finalize projects according to set timelines and objectives

Requirements 

  • Three years of experience in an administrative or project management role
  • Proven ability to perform a variety of critical and often confidential tasks
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint and comfortability using technology
  • Ability to quickly learn new processes and apply understanding to decision making
  • Strong attention to detail and a high sense of urgency
  • Ability to comprehend, distill and simplify issues
  • Ability to successfully perform in a fast-paced and changing environment
  • Strong ability to multi-task and juggle multiple responsibilities
  • Ability to work with minimal instructions/supervision at times and take initiative to keep projects and tasks moving
  • Ability to efficiently plan, organize and implement work priorities
  • Ability to anticipate and respond to the needs of the team or potential issues
  • Excellent listening, organizational and communication skills
