What You'll Do/Need

Job Summary


The Event Coordinator on the Bedrock Special Projects Team will coordinate details and logistics for projects and events that are held in non-traditional spaces which may require unique research to execute. These may include press conferences, photo shoots, film shoots, pop-up art galleries and more.   Ties threads in the QL Family and supports Detroit initiatives. The goal is to provide a world-class experience, every time.



  • Meet with potential clients to review available event spaces, determine requirements and create client proposals
  • Own smaller projects and events. Work with the team to execute larger, more complex projects and events


  • Create floor plans through Social Tables program
  • Assist with development of theming and deliverables for each event
  • May work with City of Detroit and other community teams to advise logistics and obtain permits
  • Offers vendor recommendations, assist with soliciting quotes for food and beverage selections, arrangements for audio visual service, transportation, travel, entertainment, decor, etc.
  • Schedule workforce for events
  • Create an Event Resume that includes event details and logistics
  • On-site point of contact to assist with needs of the event
  • Assists with invoicing, reconciliations and makes periodic reports on the cost of activities

What you’ll need


  • Bachelor’s degree
  • One to three years of experience planning and executing events
  • Skilled in Microsoft Office, Power Point and Excel
  • Skilled in Tripleseat and Social Tables a big plus


  • Ability to introduce new ideas to assist with planning
  • Evaluate aspects of all ideas, including his/her own skilled problem solver ability to deal with difficulties that arise on the spot at events
  • Skilled at adapting communication style to fit the group that he/she is working with
  • Strong writing skills to communicate event details creatively and concisely
  • Incredibly high attention to detail and high level of organization
  • Able to drive several projects at once
  • Ability to plan, organize and establish priorities to achieve results
  • Strong sense of urgency
  • Self-starter; always seeking new projects and ways to improve existing ones
  • Ability to work within a budget, within a very tight timeline
  • Flexibility to travel and work unusual, and often long hours
  • Strong thread puller - knows people around the family of companies, understands the importance of threads
